Attendance & sign-in/out

Typical requirement: daily attendance

Teachers log arrivals and pickups through configurable Check-In and Check-Out categories — with timestamps, notes, and who picked up each child. Admins and teachers can review history filtered by date, student, and category.

Emergency contacts

Typical requirement: emergency contact information

Store emergency contact name, phone, email, and relationship on each child's profile. Parents can keep details current from the Parent app; teachers see contacts on the class roster when they need them.

Allergies & special care

Typical requirement: allergies and special care instructions

Allergies and other care notes live on the student profile and appear on teacher roster cards — so staff have the right context before logging meals, health events, or daily activities.

Health, medication & incidents

Typical requirement: health and medication logs

Centers configure a Health activity category with options such as Symptoms, Medication, Incident, and Routine Check. Each entry is timestamped and tied to the child — a digital supplement to your existing medication and incident procedures.

Daily program & family communication

Typical requirement: program documentation & parent communication

Meals, naps, photos, moods, diary notes, daily reports, and director bulletins create a clear picture of each child's day — for families in real time and for your team when reviewing past care.

Staff time on site

Typical requirement: staff supervision & presence

Teachers clock in and out before logging activities — on personal phones or shared classroom tablets. Owners and admins review per-teacher time logs and flagged outlier sessions from the admin dashboard.

Compliance document vault

Typical requirement: staff credentials & child files

Owners can enable a PIN-protected vault to upload and organize immunization records, consent forms, staff CRCs, first aid, ECE certificates, and facility documents — per child, staff member, or location.

Expiry tracking & alerts

Typical requirement: keeping credentials current

When a vault document has an expiry date, DailyDotKids reminds the centre before it is due — including CRCs, first aid, immunizations, and similar dated credentials — by push notification and email.

Encryption & hashing

Privacy: protecting children's information

Sensitive fields — allergies, dates of birth, emergency contacts, activity notes, phone numbers, and vault document details — are encrypted in the database with AES-256. Vault files are encrypted at rest. Passwords and PINs are hashed, not stored in plaintext.

Secure, role-based access

Invitation-only accounts, owner vs. location-admin permissions, and scoped data access help keep sensitive child and family information visible only to the right people. See our Privacy Policy.

Records for review

Typical requirement: records available for a licensing visit

Class record, class diary, daily reports, admin roster views, and vault files give you searchable digital records. Your centre remains responsible for retention practices and any records the platform does not store.

Still on our roadmap

We know licensed centres keep more than daily logs and scanned files. These workflows are not in the apps yet:

  • Parent consent workflow — families acknowledge or complete forms in-app; admins see who is still missing paperwork
  • Fire drill & safety logbook — dated facility logs per location for drills and internal safety records
  • Policy library — centre policies in one place, with staff read-and-acknowledge tracking
  • Licensing visit export — printable or downloadable record packs for inspections

Until these ship, centres continue to keep those records in their existing files. Pilot partners help us prioritize what to build first.

What no app can do

Honest limits

Software can organize records and reminders — but it cannot replace the licensee, the law, or the work of running a safe centre. No childcare app — including DailyDotKids — can:

  • Guarantee that your centre is compliant or licensed
  • Take on the licensee's legal duties under provincial or territorial child care law
  • Conduct physical facility inspections or verify building and playground safety
  • Automatically verify criminal record checks with police or government systems
  • Provide medical, legal, or licensing advice
  • Replace original signed paper where your licensing officer requires it
  • File serious incident reports to your licensing authority on your behalf
  • Supervise children or enforce staff-to-child ratios in the classroom

Your team remains responsible for policies, training, ratios, safe premises, and every obligation on your facility licence.
