Who this covers
DailyDotKids is operated by Anthor Canada corp. This policy applies to the Admin, Teacher, and Parent apps, and to this website. Centre owners register for a pilot on the website form. Staff and parent app accounts are then created by invitation from that centre.
What we collect
We collect what a centre needs to run the day and keep records:
- People: names, emails, phone numbers, and roles for owners, admins, teachers, and parents.
- Pilot signup: if you register on this website, we receive your name, email, centre name, city, province or territory, and any message you send, so we can contact you.
- Children: names, class and location, allergies, dates of birth, emergency contacts, and notes you choose to store.
- The day: check-in and check-out, meals, naps, photos, notes, daily reports, and staff clock-in times.
- Files: documents you upload to the vault — for example immunizations, consents, CRCs, first aid, and certificates.
- Tuition records: fee amounts, invoices, Interac tracking, and yearly receipts. We do not take or process the payment itself.
- Technical data: enough to run the apps — for example device tokens for push notifications, and logs we use to fix problems.
How we use it
We use this information only to operate DailyDotKids for your centre:
- So teachers can log the day and parents can see updates.
- So owners can manage people, hours, invoices, and documents.
- To send the push and email alerts described on the website.
- To keep the service working, including fixing bugs and preventing abuse.
We do not sell, rent, or trade personal information to advertisers or data brokers.
Who can see it
Access is limited to people invited into that daycare. Owners and location admins see more than teachers. Parents see their own children. Shared classroom tablets use a PIN so teachers can switch without sharing passwords.
Login emails and display names stay searchable so staff can find the right child or colleague. That is intentional — encryption of other fields does not hide those identifiers.
How we protect it
- Encrypted in the database: sensitive fields such as allergies, dates of birth, emergency contacts, activity notes, daily-report PDFs, phone numbers, and vault document details are encrypted with AES-256 before they are stored.
- Encrypted vault files: uploaded documents are stored as encrypted files, not as open files on disk.
- Hashed passwords and PINs: account passwords, vault PINs, and tablet PINs are one-way hashed. We cannot read them back.
Encryption helps if data is copied. It does not replace your duty to invite only the right people and to share records only with authorized staff and families. See our Compliance page for how this relates to licensed child care record-keeping.
Where it is stored
Centre records — the database, classroom photos, and vault files — are hosted in Google Cloud in Montreal, Canada. Anthor Canada corp is based in Langley, British Columbia.
Push notifications and invitation emails may travel through the networks that deliver them. This website is hosted separately from the apps.
How long we keep it
We keep records while your centre uses DailyDotKids, and for a reasonable period after if we need them to close an account or meet a legal request. If you want a centre or a person removed, email us.
Your requests
Owners can update most roster and profile information in the Admin app. Parents can update some child details in the Parent app. For a copy of data, a correction we cannot make in-app, or deletion, email dailydot404@gmail.com.
Changes
If this policy changes in a way that matters, we will update this page and the “last updated” date. The current version is always the one on this website.
